Setting Up ClickUp Notifications

Set up the appropriate notifications within ClickUp so that you ensure you receive relevant task notifications without overwhelming the inbox, leading to increased focus and productivity.


The below settings need to be done individually per user.

Once the below settings are done, to view your notifications you need to go in ClickUp and choose Notifications from the left menu.

As in the video, go into ClickUp, go bottom left, click on your profile pic/button, and choose: Notifications from the right column popup menu.

To switch off or on the notifications, you press the blue "very good".
If you press the two blue "very goods" near the comment description the whole line will be toggled on or off.  

You can pause the video to compare the settings.
They should match as per below.


Notification Settings:

Email, Mobile and Browser notifications to be disabled. In-App Notifications Settings for Employees: This means people need to log in into ClickUp and look at their notifications count. This will reduce the cluttering of email

  1. Watcher settings:
    • They should be added as a watcher when they create a task or subtask.
    • They should be added as a watcher when they comment on a task or subtask.
  2. Smart Notifications:
    • Notifications should be delayed and sent after 2 hours. This will help in clustering notifications, so employees aren't frequently interrupted.
  3. Comments:
    • They should receive notifications for assigned comments.
    • They should receive notifications for comments assigned to them.
    • They should receive notifications for comments in which they are @mentioned.
  4. Tasks:
    • They should receive notifications for assignee changes.
    • They should receive notifications for status changes.
    • They should receive notifications for tasks assigned to them.
    • They should receive notifications for dependencies that are waiting on them.
    • They should receive notifications for dependencies they are blocking.
    • They should receive notifications when a dependency is unblocked.
  5. Start & Due Dates:
    • They should receive notifications for due date changes for all tasks.
    • They should receive notifications when a due date is overdue for all tasks.
    • They should receive a reminder before the start date for all tasks (5 minutes before).
    • They should receive a reminder before the due date for all tasks (5 minutes before).
  6. ClickApps:
    • They should receive notifications when a priority is changed.
    • They should receive notifications when a time estimate is added or changed.
    • They should receive notifications when time tracking is added or changed.
    • They should receive notifications when sprint points are added or changed.
  7. List Info:
    • They should receive notifications for comments in which they are @mentioned.
    • They should receive notifications for descriptions in which they are @mentioned.
    • They should receive notifications for assignee changes.
  8. Doc and Chat Views:
    • They should receive notifications for comments assigned to them.
    • They should receive notifications for comments in which they are @mentioned.
  9. Home:
    • They should receive notifications for reminders.
  10. Sharing:
  • They should receive notifications when a task is shared with them.
  • They should receive notifications when a list is shared with them.
  • They should receive notifications when a folder is shared with them.
11.  Docs:
  • They should receive notifications for pages in which they are @mentioned.


Note:
All other settings not mentioned above should be turned off to minimize distractions for employees.

This configuration focuses on ensuring employees are notified of essential updates, assignments, and mentions relevant to their tasks. Adjustments can be made based on feedback and evolving organizational requirements.
